Virtual Assistant (AUS Shift)

The Job:

  • Offer technical and administrative support, including tasks like handling routine correspondence, word processing, data entry, and drafting standard letters and memos as needed.
  • Provide guidance and assistance to direct reporting employees, which may involve task allocation and personal instruction for training.
  • Coordinate the purchase of office supplies and maintain office facilities.
  • Ensure timely and organized filing and records management for compliance and auditing purposes.
  • Maintain and update electronic and hard copy filing/database systems, creating new records as necessary.
  • Assist in managing diaries and appointments for the Directors.
  • Establishing new staff members in the Timekeeping system, handling data entry, and overseeing queries.
  • Approve timesheets promptly on the timekeeping system.
  • Ensure adherence to legislation, regulations, and standards pertaining to payroll, employee matters, industrial issues, work cover, and taxation requirements.
  • Maintain records of stock movements.
  • Conduct stock checks and ensure adequate stock and supply levels to maintain business operations smoothly.
  • Keep the Asset Register current and accurate.
  • Handle tasks such as arranging travel bookings and itineraries, scheduling appointments, screening telephone calls, responding to invitations, organizing internal meetings, and recording minutes of such meetings.

Requirements :

  • Bachelor’s degree or equivalent.
  • Proven experience as a Virtual Assistant or in a similar administrative role.
  • Strong communication skills (written and verbal).
  • Display meticulous attention to detail
